What is this program and how will it impact my work?

The University of Wisconsin System is initiating ATP to redesign our HR and financial systems and services. The overall goal of ATP is to greatly simplify and reduce the amount of time the UW community spends on the background business of the university. The result will enable all of us to spend less time completing tasks with antiquated systems so we can spend more time doing what we were hired to do: teach, do research and provide campus services. ATP will eventually lead to the selection of a cloud-based tool or set of tools to facilitate essential functions. In the meantime, many end users and service providers are redefining those functions, streamlining business processes and seeking agreement rather than differentiation in the tasks we do.

Will there be a cost savings to the UW System as a result of this transition?

While cost savings are a benefit of this program, its primary goal is t0 improve processes for faculty and staff. Any ATP-related changes will be based upon improving work processes and environments, and that may not always be the lowest-cost option.

What is the timeline for conversion?

We estimate it will take several years from initial planning to complete conversion and retirement of old systems. We will continue to update everyone as we gain a deeper understanding of this timing.

Will everything be moved to a digital platform instead of paper?

Yes, it is most likely that all information will be available digitally. The cornerstone of ATP, the enterprise resource planning (ERP) Implementation Project involves the deployment of a cloud-based software system that will allow faculty and staff across the UW System to easily access and manage information, anytime and anywhere.

Will there be training to help new users?

Yes, there will be learning and development resources on our website to help new users get familiar with the software system.

Will the ATP software be more intuitive than the current system?

By reducing administrative complexity, we hope that the new software system is also more cohesive and intuitive than the current system.

How will ATP allow systems to "talk to each other" and be more cohesive than the current system?

The cornerstone of ATP, the ERP Implementation Project involves the deployment of a cloud-based software system that will allow faculty and staff across the UW System to easily access and manage information, anytime and anywhere.

Will there be more transparency than the current system?

Yes, we will provide improved access to data and make it possible for our leaders to make more data-informed decisions. Further, we will engage stakeholders early and often, communicate with them clearly, and invest in robust learning and development to prepare UW’s administrative staff for a new way of working.

Will ATP reduce time?

Yes, ATP will return time to UW’s mission by reducing administrative complexity.

The preplanning and discovery stages of this program are extensive in their campus and institution engagement. We are meeting with areas throughout the UW System to understand their unique situations and related needs. This critical input will inform ATP recommendations and selections.

Must all areas transition to the new financial systems chosen?

While all areas are expected to participate, we will work on an implementation timeline for each unit that is reasonable and takes into account their uniquenesses.

Will we lose existing data on our finance systems?

How will ATP affect research administration?

The Research Administration Modernization Project (RAMP) is an ATP initiative dedicated to advancing the world-class work of UW’s research community. Bringing the systems that support this vital work into the future will require an improvement in business processes and the implementation of new, best-in-breed technologies, all developed in collaboration with UW’s subject-matter experts. The result will mean less time spent on administrative tasks—and greater focus on growing UW’s research enterprise.

Why do we need to modernize research administration?

The processes supporting research and sponsored programs administration at UW do not take full advantage of current technologies and national best practices. As a result, there have been challenges to effectively bolstering the efforts of investigators across UW. RAMP is our opportunity to reverse that trend. RAMP, under the stewardship of ATP, will work hand in hand with UW’s research community to implement a suite of tools that will improve communication, streamline the proposal and award-creation process, and integrate the management of sponsored research funding with ATP’s Systemwide ERP tool. Together, these efforts will pave the way for the expansion and advancement of UW’s research enterprise.

What are the goals of RAMP?

The goals of RAMP include increasing efficiency, decreasing risk, and harnessing the power of new technology. Guided workflows, better data, and the universal accessibility of cloud-based technology will introduce greater efficiency. We will minimize compliance risk and reduce audit exposure via system integration, timely staff reminders, and enhanced proposal tracking. Transitioning from manual to automated processes will allow staff to refocus their energy on mission-driven work.
